This study aimed to evaluate the comprehensive electronic archiving project at White Nile University and document its transition toward a digital environment as a strategic step to preserve the university's institutional memory. The study addressed the challenges associated with traditional archiving systems and their vulnerability to loss or damage. It reviewed the execution phases of the project, including sorting, preparation, scanning, metadata creation, and the customization of the open-source digital content management system (DSpace). The project successfully established an archived community structure, focusing on high-level administration, financial affairs, faculties, and deanships. Utilizing a descriptive-analytical and case-study methodology, the study evaluated the system's post-implementation performance. The findings revealed that DSpace significantly enhanced document retrieval efficiency and provided a secure repository for the university’s financial and academic assets. The study recommends continuous technological infrastructure upgrades and ongoing staff training.
